Job Summary
The primary role of the Enrolment Services Representative (ESR) is to respond to student enquiries with a high level of accuracy and efficiency. ESRs also input large amounts of student data and are principally responsible for the timeliness, integrity and accuracy of this large asset for the institution.
Specific Duties
1. Provides a wide range of professional services within the Office of the Registrar and ensures a high quality service experience to students.
• Performs all enrolment related duties, including providing information and guidance to new and current students, in person, by phone or electronically.
• Reviews student course selection, registers and enters supporting documentation. Data enters student applications, and other related documents as necessary.
• Admits students into specific open-enrollment programs based on established policy and procedures.
• Withdraws, changes and/or cancels student enrolments in accordance with established policy and procedures and ensuring the appropriate fee adjustment is made to the student record.
• Assesses and collects tuition and other student fees through a variety of methods as well as processing payments, issuing receipts, and reconciling daily transactions and individual cashiering sessions.
• Adheres to college and legal requirements regarding the privacy and confidentiality of student information and records.
• Supports students as initial contact responsible for solving enrolment related problems and difficulties.
• Accepts and initiates student requests (transcripts, enrolment verification letters, testing, etc.) through the student record system and/or appropriate business process.

2. Provides help and support to the general public, applicants and students.
• Provides non-technical support to students using web based tools and applications.
• Refers students to specific areas of the institution as appropriate.
• Provides reception services including way-finding, referrals to other campus supports, referrals to local services and other queries.
• Contributes to the overall student experience by providing a high level of customer service.

3. Provides assistance within the Office of the Registrar.
• Processes electronic applications and follows up with applicants as needed.
• Organizes and delivers incoming/outgoing mail and ensures office supplies, forms, brochures are appropriately maintained.
• Assists office with special projects including data validation/correction, record maintenance, documentation, and system testing. May contribute or participate in various projects related to the department.
• Provides back-up to the Information Specialist position during breaks/leaves.

• Promotes a positive work atmosphere by interacting and communicating in a professional manner that demonstrates mutual respect with students and colleagues.
• Engages as part of a team in contributing to and accomplishing the vision, mission, and goals of the College and in supporting the aspirations and needs of our learners.
• Performs other related duties as assigned.
Skills & Qualifications
  • One year certificate in office or business administration.
  • 2 years or more Two years recent related work experience – preferably within high volume customer service environment. An equivalent combination of education and experience may be considered.

  • Excellent written and verbal communications skills in the English language.
  • Strong interpersonal skills with a high degree of sensitivity to student needs and ability to resolve conflict in a positive manner.
  • Ability to provide effective and courteous customer service.
  • Knowledge of post-secondary operations, program offerings, and admission/registration policies and procedures.
  • Ability to remain calm and produce high quality work in a fast pace environment with frequent interruptions.
  • Ability to maintain confidentiality and privacy requirements with regard to student information.
  • Excellent data entry skills and ability to accurately enter information into software databases.
  • Demonstrated attention to detail and ability to process cash, credit and debit transactions accurately.
  • Ability to work independently and within a team environment.
  • Ability to exercise tact, discretion, good judgement and diplomacy.
  • Strong computer skills, including word processing (MS Word) and email (MS Outlook).
  • Accurate keyboarding skills at a minimum 40 wpm and alpha/numeric (data entry) skills of 100 key strokes per minute.
